This guide covers how to use Zoom Clinical Notes from start to finish — capturing notes during a visit, reviewing and editing them, copying to your EHR, and managing note lifecycle. Keep it handy as a quick reference.

01 How to Capture Clinical Notes
Start capturing AI-generated clinical notes in five steps. Notes are created automatically from your Zoom visit audio.
Quick Start Steps

Start your Zoom meeting and click the Clinical Note icon on the toolbar.

Look for the Pulsating EKG indicator at the top right of the meeting window. This confirms the note is actively recording.

Add patient details (optional). You can enter patient name or identifier to help organize the note later.

Choose your template. The default template is Follow-up. You can change it to match your visit type.

End the meeting. Within about a minute, you'll receive an email from Zoom with a link to review your note. You can also access it in the Zoom Workplace desktop app under Clinical Notes in the left sidebar.

Tip: The pulsating EKG indicator is your confirmation that the note is being captured. If you do not see it after clicking the Clinical Note icon, try clicking the icon again.
02 AI Note-Taking Consent Script
Once your session has started, read one of these scripts to your patient before turning on the AI note. Click Copy script to copy it to your clipboard, then paste it into your chart note to document verbal consent.
Standard Script
Say to patient
"Before we get started, I use an AI assistant to take notes during our visit so I can focus on you. It's HIPAA-compliant, I review everything before it goes into your chart, and it's completely optional — your care won't be affected either way. Do I have your permission to use it today?"
[Wait for verbal yes or no. Document the response in the chart.]
Short Version (Established Patients)
Say to patient
"I use an AI assistant to help take notes during our visit so I can focus on you. It's HIPAA-compliant, I review everything before it goes in your chart, and it's optional. Okay if I use it today?"
[Document yes or no in the chart.]
If the Patient Declines
Say to patient
"No problem at all. I'll take notes the traditional way. Let's get started."
How to document: Click Copy script, then paste into your chart note or smart phrase field. Record the patient's yes or no in a structured consent field if your EHR supports it.

Note: If you are unsure whether Clinical Notes is enabled on your account, check with your IT administrator or Zoom account owner.
04 Accessing Clinical Notes
Find and browse your clinical notes from the Zoom Workplace desktop app or via the email notification you receive after each meeting.
How to Access

Sign in to the Zoom Workplace desktop app.

Click the Clinical Notes tab in the left navigation.

Click the Activity Center notification to open a recently generated clinical note.

Use the search bar to enter a keyword or topic name to find a specific note.

(Optional) Click the Sort dropdown to sort notes by: Creation date, Last modified date, or Days until deletion.

Note: Clinical Notes can be viewed and edited on mobile, desktop, or the Zoom web portal. Notes in review are permanently deleted after 7 days. You will also receive an email notification from Zoom when each note is ready — click the link in the email to go directly to your note.
05 Updating Clinical Notes
Review and edit your notes before transferring them to your EHR.
How to Review and Rename

Sign in to the Zoom Workplace desktop app.

Click the Clinical Notes tab.

Click on the note topic, or hover over the note and click Review.

(Optional) Click Rename, enter a new name, then click Save.
Note: By default, notes are titled using the Zoom Meeting ID. Renaming helps you identify notes quickly when you have several in review.
06 Completing Clinical Notes
Copy your finalized note to your EHR and mark it as complete.
How to Complete a Note

Sign in to the Zoom Workplace desktop app.

Click the Clinical Notes tab.

Click on the note topic, or hover over the note and click Review.

Click the clipboard icon to copy the note to your clipboard, then paste it into your EHR.

(Optional) Click the Complete button to move the note to completed status.
Important: Completed notes are permanently deleted after 3 days by default. To view completed notes, click Completed in the left navigation. You can click Restore to Review to move a note back to active status if needed.
07 Changing Owner
Transfer ownership of a clinical note to another clinician on your team.
How to Change Owner

Hover over the note, click the menu (three-dot icon), then select Change Owner.

Enter the new owner's email address and click Change.
Note: The new owner must be within the same Zoom account. You cannot transfer notes to users outside your organization.
08 Deleting Clinical Notes
Permanently remove notes you no longer need.
How to Delete

Hover over the note, click the menu (three-dot icon), then select Delete forever.
2
Click Delete to confirm.
Tip: You can select more than one note at a time to batch delete multiple notes in a single action.
